Implementing strict sanitary protocols with the help of technology at Tallinn 2021

It’s been a two-week long marathon of access control and support at the U20 and U23 European Athletics Championships in Tallinn, Estonia, for our on-site operations team. Working together with our partners at European Athletics and the Tallinn 2021 Local Organizing Committee, Wiz-team implemented strict sanitary protocols to help keep athletes, officials, volunteers, and organizers as safe as possible amidst the ongoing covid-19 pandemic.

The U20 and U23 European Championships was attended by a combined 3100 athletes and officials from 46 countries across Europe and supported by over 1100 local volunteers, organizers, media, staff, and event service partners. Sanitary protocols required every on-site individual participating at the event to test every 48 to 72 hours. That’s well over 10,000 covid tests performed by local medical teams. These test results were then imported into Wiz-team’s all-in-one event management platform Event-Works several times a day, with some files containing over 700 rows of information! Each import set-off over 100 automated triggers that managed access and privilege rights across the 4000+ participants, giving time-bound access to the stadium and venues. Three entrance gates were monitored and nearly 35,000 scans of accreditations were completed to help ensure everyone who entered the venue were cleared to do so.

Delivering a safe event under the ever-changing conditions of a global pandemic is no easy feat. It requires teamwork, cooperation, communication, and resilience between people and systems. As Wiz-Team Delivery Manager Valentina Rios, who spent the full two-weeks on-site, says: “The success of the U20 and U23 championships depended on our collective ability to adapt and change on the fly. Not only was Event-Works flexible enough to keep up with changes to the process and procedures as we learned more about the challenges on the ground, but our partners at European Athletics and Tallinn 2021 could problem-solve through technology to help stay ahead of testing and other logistical challenges. Additionally, our collective ability to work together as a team and communicate over the course of the event was crucial.

Wiz-Team delivers VIP access control solution for prestigious Masters in Chantilly

Last week, Wiz-Team supported important operations at the Masters de Chantilly, a world-class show-jumping event held from 8 to 11 July in France. The event attracted a significant number of VIPs and high-profile partners including representatives from brands like Rolex and Hermes. Wiz-Team’s event management solution ‘Event-Works’ served to manage the invitations and sponsor portal prior to the competition, including the assignments of the sessions to which certain guests were invited to. During the event, Wiz-Team ensured safe and smooth access control for these high-profile attendees and all the other participants.

The accreditations also covered competitors and their entourage, staff and media. Wiz-Team controlled the access to stables, the tribune, press zone and hospitality areas via the use of different QR codes.

Wiz-Team supports operations of first pop-up House of Switzerland

For the first time, an exclusive pop-up House of Switzerland just opened its doors in the German city of Stuttgart and Wiz-Team is proud to support several operations of this innovative project. Organised by “Presence Switzerland”, a unit of the Federal Department of Foreign Affairs responsible for promoting Switzerland’s image abroad, the House of Switzerland aims to promote Swiss culture and business cooperation with the neighbouring region of Baden-Württemberg.

Over a four-month period, a varied programme of around 100 events will be organised on topics of common interest, with a strong focus on innovation and sustainability. The almost 2,000m2 space in the heart of the city will also host interactive exhibitions, workshops and be home to an array of Swiss culinary delights. According to the organisers, Stuttgart will be the first stop of a European roadshow, with the pop-up House of Switzerland also set to visit cities in Italy, France and elsewhere.

Wiz-Team is supporting this new initiative by providing its event management solution Event-Works for the areas of registration, accreditation and badge printing, communication, and the scheduling of sessions. For Stuttgart, the entire platform runs smoothly in German thanks to Wiz-Team’s multilingual module.

In addition to being part of this exciting project, Wiz-Team will also support the operations of the House of Presence Switzerland during the World Expo in Dubai, to kick off on 1 October 2021. This six-month festival will celebrate human brilliance and achievements in the fields of architecture, technology, innovation, music, arts and more.

Wiz-Team in action at upcoming Volleyball Nations League 2021 to help deliver safe event

With the women’s competition set to begin on 25 May, Wiz-Team is gearing up to support Volleyball World with its third edition of the FIVB Volleyball Nations League (VNL). Featuring 16 teams per gender with each team playing against each other, the VNL makes a highly anticipated return after the 2020 edition was cancelled due to the COVID-19 pandemic. This year, all matches will be played within a secure bubble in the Italian city of Rimini over five consecutive weeks. Frequent testing, strict health and hygiene measures and an array of risk mitigation protocols will ensure athletes are able to compete safely while bringing live volleyball action to millions of fans worldwide.

Wiz-Team is supporting these efforts by providing its event management solution Event-Works for the areas of online registration, accreditation, access control, accommodation, communication, and the scheduling of sessions. Event-Works will also play an instrumental role in supporting the safe and secure bubble concept, while ensuring compliance with social distancing rules. It will help to monitor the movement of participants between seven different hotels and the competition venue; facilitate the automation and monitoring of COVID-19 testing; link this data to the access control at venues; and organise the training and match schedule.

The event will welcome just over 1,000 participants, including athletes, their entourages, officials, and media representatives. The VNL 2021 is yet another showcase of how Wiz-Team’s smart software can facilitate complex event operations during the pandemic.

Wiz-Team supports delivery of “virtual” Swiss Cyber Security Days

The Swiss Cyber Security Days (SCSD), bringing together Switzerland‘s leading expertise in cyber security in an international environment, kicked off today. The delivery of this high-profile, virtual event has been supported by Wiz-Team’s event management solution “Event-Works” for registration, ticketing, and payment.

The conference is streamed via a new innovative networking and business platform called “SCSD365”. Wiz-Team has created a specific, highly customised API, which allows for a high-speed, accurate, and secure access to important event information connecting Event-Works with the SCSD365 virtual platform.

“With data privacy and security being core elements of Wiz-Team’s solutions, it has been a fascinating experience to contribute to the delivery of this important event for a second time in a row”, says Wiz-Team COO Tim Goethals. He adds: “Last week we were back on the ground supporting the delivery of a physical international sport event in Poland, this week we are again 100% in the virtual space. That’s the new normal and our versatile event management solution allows us to adjust quickly to different situations and needs.”

This year’s SCSD themes focus on global hacking and national sovereignty, with the second conference day devoted to SME security.  The line-up of top level speakers include Federal Councillor Ueli Maurer, André Kudelski, Chairman and CEO of the Kudelski Group and President of Innosuisse, and many more senior experts from organisations such as Interpol, the WEF, the Geneva Center for Security Policy, the CyberPeace Institute and the European Space Agency.

What was the biggest lesson learnt in 2020?

To see the glass half full! There were very little operations between March and December, but our development team has never been so busy as all resources were available to work on new product features and focus on developing Event-Works. Being resilient and flexible are two other important lessons from 2020. The team went beyond normal duties to create user guides, conduct trainings, Q&A webinars, and revamp our branding including a new website.

How did Wiz-Team tackle the challenges posed by the COVID-19 pandemic?

As part of its strategy, Wiz-Team has always diversified its client portfolio between software licenses and services and working across multiple industries. This diversification has been extremely helpful. We’ve also taken this time to prepare for when events do resume, worked on internal processes, hired four new brilliant staff members and moved offices.

Looking ahead to 2021, what are Wiz-Team’s plans?

This year will be about making sure Event-Works becomes the reference for accessibility in event management solutions, that we continue to develop our application infrastructure and provide new automated and time-saving tools to organisations and event professionals. Wiz-Team is also going to grow with a few experts joining the team and some exciting new projects and partnerships… watch this space!

It has been one year since a record of over 1,800 athletes from 79 countries gathered in Lausanne (Switzerland) for the third edition of the Winter Youth Olympic Games (YOG). Wiz-Team is proud to have contributed to the smooth operations of the organisers. Its event management solution “Event-Works” was used to conduct the registration of, and data collection from, 4000 volunteers who, during the Games, were deployed across five sports clusters and other important locations such as the athletes’ villages, the airport and train stations.

Wiz-Team’s software provided a new, user-friendly sign-up process and enabled the efficient collection of key information from this important stakeholder group who help make the Games a reality. The data collected included details for accreditation, uniform sizes, validation of shift assignments and uniform pick-up dates. Conditional tabs were also used to collect only the necessary information, like parental consent forms for minors.

New to Wiz-Team – Meet Valentina

We’re delighted to welcome a new member to the team! Valentina Rios, a native of Argentina, joins our Operations team as Delivery Manager, starting next month. She brings to Wiz-Team a wide range of skills, experiences, and languages (three!) from her career as an analyst and project delivery specialist.

Managing a variety of business insights and data projects both at a global bank and a consulting firm cemented Valentina’s passion for developing, designing and delivering complex and customised solutions at the highest level.

In 2018, she caught the major international event ‘bug’ as a member of the Accreditation team at the Summer Youth Olympic Games in Buenos Aires. She has since successfully worked on planning and delivering a range of main functional areas at sports events like the Longines Masters and the Games of the Small States of Europe.

A life-long learner, Valentina is always striving to absorb new things. She loves travelling, meeting new people and collecting pins of which she has 100 so far, and may be open for a trade!

As founder and CEO of Wiz-Team, Johann has more than fifteen years of experience in event data management, working with sports federations, the medical congress industry, corporate companies and government agencies. The diversity of these industries has provided him with a wide-ranging background and an exceptional experience in various types and sizes of events. Johann delivered innovative event management solutions to every Olympic Games since 2004. His previous experience includes web and database development, as well as project management in the luxury industry, and teaching. 

From the Wiz-Team headquarters in the Olympic Capital, Lausanne (Switzerland), Johann manages a global network of developers, translating complex data management requirements into solutions built by event professionals, specifically for event professionals.

Johann holds an MBA in international management and speaks English and French. In his spare time, he enjoys scuba diving and is passionate about new technologies.
