Implementing innovation: Where do you start?

wiz-editor November 25, 2021 0

The rapidly evolving world of technology creates exciting opportunities for innovative solutions to solve for some of our most frustrating daily challenges in event management. At the same time, implementing and adopting new tools while working on your next big project can be overwhelming.
So where do you start?

Learning and integrating new technology is a thrilling prospect for many, but for others it can be a rather overwhelming proposition. We at Wiz-Team have been in both of their shoes knowing all too well how both exciting AND challenging it can be to implement new technology. For this reason, we work hard to get to know our clients, their needs, and their readiness to ensure we create and deliver tailormade training programmes to ease the implementation process and expedite user adoption of our event management solution – Event-Works.

Over the past couple months, we have experienced a system training “high-season” with well over 80 hours of training across both the sport and institutional sectors. Sessions ranged from small highly specialised in-person training to online organisation-wide solution familiarisation exercises, and on-site volunteer training on operational components. Our mission? To ensure Event-Works users feel empowered to not only use the system, but to configure and customise the solution to meet their own individual needs.

Valentina Rios, an Event-Works trainer at Wiz-Team shares: “We strive to create autonomy, inspire curiosity, and build confidence in our trainees. We work to achieve that through thoughtful and engaging training sessions that demonstrate the capabilities of the system but also ties it to real scenarios and practical exercises that mean something to our new and sometimes veteran users.”

As one trainee recently shared with us: “Wiz-Team’s personalized approach to familiarization and training was tailormade to what our team needed. It was an intentional and efficient time where our team was empowered to learn and ask questions, allowing us to build a firm foundation of knowledge around Event-Works for all future events.”

Though we are very pleased with the feedback we’ve been receiving, we know that solution implementation and user adoption is always a moving target complicated by elements like condensed timelines, varying levels of systems literacy, change management processes, and learning preferences.  We are then always evolving and adapting how we deliver trainings to ensure we are relevant and effective for all our clients now and into the future.

Stay tuned as we explore this topic over the next few months sharing our experiences and best practices delivering this core pillar of Wiz-Team services; one that is essential to the success of our clients, our organisational mission, and the future of event technology.

3 questions to… Li Neo Tay, co-founder and Director of Operations at IGNITX

wiz-editor October 27, 2021 0

For the past month, Li Neo Tay, Co-Founder and Director of Operations at IGNITX – a network of event professionals and a strategic partner to Wiz-Team for event operations – has joined Wiz-Team at its headquarters in Lausanne, Switzerland, as an external consultant to support with product development. We caught up with Neo to talk about what she’s been doing at Wiz-Team and the value of partnership.

How have you enjoyed your immersion at Wiz-Team?

I spent much of last year being back home in Malaysia, with no travel, much like the rest of the world. After such a long time working alone at home, in lockdown, it was so nice to be working in a team again, to be able to share and interact with peers in person. I’ve known Wiz-Team since 2019, and I’m familiar with the team, having worked with them at past events, so it felt like coming back to visit good friends who you are comfortable with. And we have fun, which is important!

What have you been doing and how are you working with Wiz-Team?

Having worked in the Sport Entries and Accreditations Functional Areas for the Local Organising Committees of several major international sport events since 2009, I came here in the capacity of a functional expert within their delivery team as they prepare for the Birmingham 2022 Commonwealth Games as well as another major event coming up later this year. Drawing from my own event management expertise and IGNITX’s network, I’m test-driving and supporting Wiz-Team with new releases of their accreditations and sport entries applications, as well as helping their team shape the viability of these new modules for years to come. In short, I’m helping to bridge the gap between the tech solutions, the users and the wider major sport event market.

Since 2019, IGNITX has partnered with Wiz-Team on several projects, why?

Because of the innovation and the breath of fresh air that they bring to a system from a Games management point of view. At IGNITX, we’re a people’s company, not a systems company, so as the strategic partner of Wiz-Team, we have a real appreciation for Event-Works and its customisable, empowering, time-efficient, and user-friendly functionalities. But for us, it’s also about the people behind the system. We share the same values as Wiz-Team, and we appreciate their openness and willingness to innovate, improve and enhance what they do with ideas directly from the community of people who face the day-to-day challenges of event delivery. Smaller tech companies like Wiz-Team bring passion, connection, and principles to what they do. When they work at events, they give it their all and care truly about delivering quality, as do we. Mutually supporting each other with our respective unique expertise is then a win-win situation.

In action at the heart of Europe

wiz-editor October 12, 2021 0

It’s been a couple of busy but exciting days for Wiz-Team’s on-site operations team at the European Youth Event (EYE), held from 8 to 9 October 2021 at the European Parliament in Strasbourg, France. Organised every two years, the EYE brings together thousands of young people from all over the European Union and beyond to shape and share their ideas on the future of Europe.

Our event management solution Event-Works was used to register and accredit the more than 5000 participants who were physically present. In addition, our all-in-one platform supported communication, reporting, the scheduling of sessions and the management of partners. Whilst providing assistance from the cloud, we also supported on the ground and were joined by our new colleague Audrey Krzemien, for whom this was the first major “operation” since joining Wiz-Team as Head of Belgium Operations last month.

“What a great event to kick off my on-site experience with Wiz-Team”, said Audrey speaking after the event. “Everything went smoothly and there was a very positive buzz with thousands of dedicated young people exchanging their views with experts, activists, influencers and decision-makers right in the heart of Europe.”

EYE strives to promote equality, inclusiveness and sustainability – features which are also very much embraced by Wiz-Team, and we are thankful for our partners at the European Parliament and for the great teamwork!

Implementing strict sanitary protocols with the help of technology at Tallinn 2021

wiz-editor July 21, 2021 0

It’s been a two-week long marathon of access control and support at the U20 and U23 European Athletics Championships in Tallinn, Estonia, for our on-site operations team. Working together with our partners at European Athletics and the Tallinn 2021 Local Organizing Committee, Wiz-team implemented strict sanitary protocols to help keep athletes, officials, volunteers, and organizers as safe as possible amidst the ongoing covid-19 pandemic.

The U20 and U23 European Championships was attended by a combined 3100 athletes and officials from 46 countries across Europe and supported by over 1100 local volunteers, organizers, media, staff, and event service partners. Sanitary protocols required every on-site individual participating at the event to test every 48 to 72 hours. That’s well over 10,000 covid tests performed by local medical teams. These test results were then imported into Wiz-team’s all-in-one event management platform Event-Works several times a day, with some files containing over 700 rows of information! Each import set-off over 100 automated triggers that managed access and privilege rights across the 4000+ participants, giving time-bound access to the stadium and venues. Three entrance gates were monitored and nearly 35,000 scans of accreditations were completed to help ensure everyone who entered the venue were cleared to do so.

Delivering a safe event under the ever-changing conditions of a global pandemic is no easy feat. It requires teamwork, cooperation, communication, and resilience between people and systems. As Wiz-Team Delivery Manager Valentina Rios, who spent the full two-weeks on-site, says: “The success of the U20 and U23 championships depended on our collective ability to adapt and change on the fly. Not only was Event-Works flexible enough to keep up with changes to the process and procedures as we learned more about the challenges on the ground, but our partners at European Athletics and Tallinn 2021 could problem-solve through technology to help stay ahead of testing and other logistical challenges. Additionally, our collective ability to work together as a team and communicate over the course of the event was crucial.

At Wiz-Team, we appreciate every opportunity to challenge our system and our operations teams to get better and learn ways to keep event organizers and participants as safe as possible through technology.

Wiz-Team delivers VIP access control solution for prestigious Masters in Chantilly

wiz-editor July 16, 2021 0

Last week, Wiz-Team supported important operations at the Masters de Chantilly, a world-class show-jumping event held from 8 to 11 July in France. The event attracted a significant number of VIPs and high-profile partners including representatives from brands like Rolex and Hermes. Wiz-Team’s event management solution  Event-Works served to manage the invitations and sponsor portal prior to the competition, including the assignments of the sessions to which certain guests were invited to. During the event, Wiz-Team ensured safe and smooth access control for these high-profile attendees and all the other participants.

Here is a snapshot of the accomplished operations delivered by Wiz-Team:

  • 200 VIP invitations
  • 375 accreditations
  • 500 onsite registrations
  • 3000 access control scans
  • 2 accredited dogs

The accreditations also covered competitors and their entourage, staff and media. Wiz-Team controlled the access to stables, the tribune, press zone and hospitality areas via the use of different QR codes.

Tim Goethals, COO of Wiz-Team who supported the operations on the ground, said: At Wiz-Team, it’s all about being a people-centric organisation first, despite the fact that we are an event management software provider. Aligning people with technology and processes is the key to a flawless level of services. It’s about ensuring control and smooth operations in the most discrete way.

Wiz-Team supports operations of first pop-up House of Switzerland

wiz-editor July 6, 2021 0

For the first time, an exclusive pop-up House of Switzerland just opened its doors in the German city of Stuttgart and Wiz-Team is proud to support several operations of this innovative project. Organised by “Presence Switzerland”, a unit of the Federal Department of Foreign Affairs responsible for promoting Switzerland’s image abroad, the House of Switzerland aims to promote Swiss culture and business cooperation with the neighbouring region of Baden-Württemberg.

Over a four-month period, a varied programme of around 100 events will be organised on topics of common interest, with a strong focus on innovation and sustainability. The almost 2,000m2 space in the heart of the city will also host interactive exhibitions, workshops and be home to an array of Swiss culinary delights. According to the organisers, Stuttgart will be the first stop of a European roadshow, with the pop-up House of Switzerland also set to visit cities in Italy, France and elsewhere.

Wiz-Team is supporting this new initiative by providing its event management solution Event-Works for the areas of registration, accreditation and badge printing, communication, and the scheduling of sessions. For Stuttgart, the entire platform runs smoothly in German thanks to Wiz-Team’s multilingual module.

In addition to being part of this exciting project, Wiz-Team will also support the operations of the House of Presence Switzerland during the World Expo in Dubai, to kick off on 1 October 2021. This six-month festival will celebrate human brilliance and achievements in the fields of architecture, technology, innovation, music, arts and more.

Wiz-Team in action at upcoming Volleyball Nations League 2021 to help deliver safe event

wiz-editor May 25, 2021 0

With the women’s competition set to begin on 25 May, Wiz-Team is gearing up to support Volleyball World with its third edition of the FIVB Volleyball Nations League (VNL). Featuring 16 teams per gender with each team playing against each other, the VNL makes a highly anticipated return after the 2020 edition was cancelled due to the COVID-19 pandemic. This year, all matches will be played within a secure bubble in the Italian city of Rimini over five consecutive weeks. Frequent testing, strict health and hygiene measures and an array of risk mitigation protocols will ensure athletes are able to compete safely while bringing live volleyball action to millions of fans worldwide.

Wiz-Team is supporting these efforts by providing its event management solution Event-Works for the areas of online registration, accreditation, access control, accommodation, communication, and the scheduling of sessions. Event-Works will also play an instrumental role in supporting the safe and secure bubble concept, while ensuring compliance with social distancing rules. It will help to monitor the movement of participants between seven different hotels and the competition venue; facilitate the automation and monitoring of COVID-19 testing; link this data to the access control at venues; and organise the training and match schedule.

The event will welcome just over 1,000 participants, including athletes, their entourages, officials, and media representatives. The VNL 2021 is yet another showcase of how Wiz-Team’s smart software can facilitate complex event operations during the pandemic.

JOHANN

CEO

As the founder and CEO of Wiz-Team, Johann has been a part of this adventure long before the start of the organisation 10 years ago. This dynamic and fast-growing company was born out of gap in the market Johann and his colleagues experienced as event managers in the early 2000s.  With little tools available to effectively manage the demands and challenges of data management for complex events, they decided to build their own solution.

Shortly thereafter Johann created Event-Works and later Wiz-Team with the vision to deliver world class digital solutions built by event professionals for event professionals. From Wiz-Team headquarters in his hometown Lausanne, he oversees a global network of developers and experts, who support the organisations mission to empower event professionals through smart, intuitive, and innovative digital solutions.

Johann’s expertise in event data management is outstanding.  He has delivered innovative event management solutions to every Olympic Games edition since 2004 alongside a range of other international events. Having worked across many sectors, including sports federations, the medical congress industry, corporate companies, and government agencies, he has acquired a wide-ranging background and an exceptional experience in various types and sizes of events. Before he set up Wiz-Team, Johann specialised in web and database development, as well as project management in the luxury industry, and teaching.

Johann holds an MBA in international management and speaks English, French and some German. In his spare time, he enjoys scuba diving, discovering the world on a motorbike, gaming and exploring new technologies.
