For its XXII General Assembly, the Association of National Olympic Committees (ANOC) used Event-Works extensively to facilitate the organisation around this well-visited 2-day event. Counting 1’500 delegates this year, ANOC managed its room allotments for multiple hotels with our web-based registration system. Flight bookings were made using our travel module, which automatically uploads bookings to travel agency Carlson Wagonlit. It was also their first time to seat their members from the National Olympic Committees with our EW SitPlan App, allowing for effortless seating changes during on-site operations, which saved them a lot of time.

This was our first collaboration with SAP and our client used Event-Works for the online registration of participants for the SAP Forum 2017. With Event-Works, they were able to collect critical registration data, generate accreditations using dynamic categories and communicate easily with their delegates via the system’s e-mail communication module. During the Forum, SAP used our Access Control App and scanned delegates at the main entries and for different sessions via the accreditations’ QR code to monitor sales leads generated through the attendance after the event. Different participant groups including media, VIPs and exhibitors were successfully registered with Event-Works for the 20KM. For this event, the management of exhibition stands and stock management of ordered assets, including invoicing and payments, were carried out through Event-Works. Access and capacities of different visiting groups for numerous parking spaces was controlled through our Access Control App. Parking vouchers with QR codes allowed privileged access for invited guests.

The registration for all National Federations for the AIBA Extraordinary Congress 2016 in Montreux was carried out through Event-Works. Upon registration, delegates could indicate if they required a VISA invitation letter, which was generated automatically using Event-Works’ documents module. AIBA also used Event-Works for the accommodation management of all delegates, whereby room allotments with hotels were managed and communicated through automated and shared reports. Accreditations were generated and managed through Event-Works’ badging module using dynamic categories.

Delegates received a personalised invitation with a secure link sent from Event-Works, through which they could register their attendance online. Wiz-Team produced the accreditations for the different categories and provided on-site support. The Access Control App was used to scan guests attending the Gala and VIP dinners, as well as to manage the entrance of the General Assembly, to ensure that only voting members could enter. The App is linked to Event-Works and works in online and offline mode. World Sailing also used our hybrid eVoting solution for the elections of their president and vice president. Wiz-Team was involved with the torch relay to supply the nomination portal for torchbearers. The management of the torch relay programme was carried out through OSCAR™ (Organizing System for Courses and Routes). OSCAR™ is our platform that provides a user-friendly and flexible tool to facilitate the planning, development and operation of complex moving events such as torch relays. For the Olympic Games in Rio de Janeiro this platform was successfully used for email communication, route planning, daybook generation and stock management of uniforms.

During the Olympic Games, the accreditation management for the FIVB Volleyball House was carried out through Event-Works. For the ticket allocation, FIVB also chose to use our Event-Works ticketing solution to manage orders of the volleyball family and for on-site management of ticketing stock, including order confirmation. Access control to the FIVB Volleyball House was managed through the Event-Works Access Control App.
